Graduate Student Continuation Policy
Continuous Enrollment and On-Leave Status
To maintain matriculated graduate student status at the University, students must be continuously enrolled every quarter on a full-time or part-time basis (with the exception of Summer quarter, which is optional), or must be on official On-Leave status.
You should request On-Leave status if you are not able to be continuously enrolled. Note that the Graduate School requires that students must have completed at least one quarter of graduate study (in matriculated status) to be eligible for On-Leave status.
On-Leave status allows students to maintain active matriculated graduate student status even if they are not registered for courses. This status may be granted for a maximum of four consecutive quarters. To request On-Leave status you should:
- Discuss the On-Leave situation with the Graduate Advising Office.
- Request leave by the 10th day of the quarter through the Graduate School using MyGrad.
- Pre-registered students must officially withdraw via MyUW or the Registration office prior to the first day of the quarter. Registered students are not eligible for on-leave status.
If a student is not registered or is not on official On-Leave status, s/he will be automatically dropped from the University. UW Leave status retains a student's graduate status, and allows a student to use libraries and email accounts, but allows no other University or department services.
A student must be registered for a minimum of 2 credits during the quarter the student graduates, and a student must be registered for a minimum of 2 credits during the quarter the student holds an exam (M.S. defense, Ph.D. Quals, Ph.D. Generals, Ph.D. defense).
It is the student's responsibility to make sure s/he is on active student status. If there are questions or problems, students should contact the Advising Office.
Annual ReviewTo maintain status in the program, graduate students must make satisfactory progress toward their degree. Students must maintain an overall GPA of 3.0 for graduation, must have a faculty advisor, must meet department deadline for submission of Master's Program of Study, must maintain appropriate grades for the Qualifying Examination, and must maintain progress in completion of M.S. coursework, project or thesis or Ph.D. dissertation.
Graduate students in Electrical & Computer Engineering will be reviewed annually. If the student's progress is other than satisfactory, one of the following actions will be taken: (1) Warning, (2) Probation, (3) Final Probation, or (4) Drop. The Graduate Program Coordinator will oversee the review process.
Students are strongly encouraged to maintain regular communication with their faculty advisors or to contact the Graduate Program Coordinator or the Graduate Advising Office when there are problems. The department is eager to help students to successfully complete the program.
